Updates
Victoria: We will go over a bunch of updates and talk about stuff from last week, then we will talk about plenary, then the librarians will talk about the google drive, we will open the room for new updates. Does anyone have questions? First, we have some updates about council. We just had a bunch of elections, one for the freshman class rep, who is joining us today.
Mena: My name is Mena, I am a first year, I am on the field hockey team, I am looking to get more involved on campus. I’m very excited about StuCo, I have been involved in StuCo since around third grade.
Emma: I’m Emma, one of the co-secretaries
Thea: I am Thea, the other co-secretary.
Claire: I am Claire, one of the librarians. We have been working on planning social media for the retreat. If you are new, please send me a photo for the website.
Yasmin: I am Yasmin, one of the librarians.
Tim: I am Tim, I’m the treasurer librarian, I’ve been doing a lot of work with early budgeting spreadsheets.
Adam: I am Adam, I am the senior rep.
Coco: I’m Coco, I’m the international student representative. I sent out the guidelines for the international student lounge and met with Natasha to discuss a tax issue students were having.
Julie: I am Julie, officer of the arts.
Kelly: I am Kelly, student life officer. SECS is going to be officially formed on Friday. Our next event is a silent disco in like two weeks.
Aaron: I’m Aaron, I’m the sophomore rep, I will be sending an email to the sophomore class as an intro and have people suggest projects.
Jack: I am Jack, the officer of academics. I have been emailing the Provost.
Ben: Salutations, I am Ben, I’m the junior representative to the board, we will be having our new student board representative orientation soon.
Bukky: I am Bukky, the officer of multiculturalism. I met with Diamond with REEO and I am thinking of ideas for this semester.
Yuriko: I’m Yuriko, I am the senior representative to the board of managers, I guess for updates I have been thinking about my personal project, and I want to work with Bukky to establish a tradition of club Celebrasia following the footsteps of other affinity groups such as La Gala, and Black Love. I am hoping to start an annual rotating tradition throughout the TriCo for the asian community as well.
Kabir: I’m Kabir, I’m one of the co-vice presidents, like two hours ago we met for the appointments committee and we appointed some of the positions that didn’t get elected. This week we will also be sending out the application for the appointees for the shared governance committees. That will be going out tomorrow and we will appoint them by Sunday. We also have a few standing committees, like with FAPC and SEAC, which we will be doing appointments for.
Oliver: I am Oliver, co-treasurer. We have been doing a lot. I also got to be part of the constitution committee.
Jorja: I’m the other co-treasurer, we have been doing a lot with budgeting.
Grace: I am Grace, I’m the officer of access of disability. I am getting set up and SEAC is getting up and running. In the next couple weeks we are going to meet. I am on an advisory council which is a group of students doing diversity and access stuff. I have a meeting with the ADS team this week, and that’s a biweekly meeting.
Victoria: Thank you guys. Our officer of athletics had decided to resign so that position went up for nominations. I have not seen an update from the elections coordinators yet. The next thing I wanted to get into were the committees.
Committees
Kabir: We met with representatives and honor council co-chairs earlier to appoint honor council representatives for positions that had not been filled. Next week will be shared governance appointments, for the different offices that want students. We will also be doing appointments for the two standing committees along with the standing committees.
Victoria: We did end up appointing the junior class rep for StuCo, so hopefully he will be able to join us next week. We still have to send an email to welcome him to council. The constitution committee if you could give some updates.
Kabir: One last thing, anyone is welcome to the appointments committee. The constitution committee, Grant is heading that, I wasn’t at the last meeting.
Adam: We divided up the constitution into different sections. We gave the sections about honor council to people involved with honor council. Our goal is to shorten the constitution, and remove outdated language. A good example is we have 5 sections about elections and they are throughout the constitution without reason.
Emma: Just to clarify, none of the content is being changed, it is just making things more condensed, we are not removing any information.
Victoria: Were you expecting to bring this to plenary or spring?
Kabir: Spring plenary. If anyone else wants to join please reach out to us.
Victoria: Can we hear about the FAPC and SEAC standing committees?
Kabir: We wanted student council to have bodies to do things. The only time we appoint people are for elections or for when admin wants to do things. But what about projects coming from students? Grant and I are working on making standing committees. One of those committees is StuCo x FAPC. We will have monthly meetings with them and appointment three reps from StuCo. SEAC is a committee that reached out to us last year. They wanted our support to make them a committee. SEAC has done amazing work and they have reps from every student group on campus. They want two general student reps, we will appoint those for them. We also want to publicize them to the student body.
Thea: SEAC stands for Student Events Accessibility Committee.
Victoria: Who is a part of the appointments for that?
Kabir: The appointments committee.
Grace: When do you think we will have the appointments?
Kabir: By next Sunday assuming we get enough nominations.
StuCo Retreat
Victoria: Next, is the retreat. We are leaving this Friday around 4pm. We will not have a general meeting next week. If you are having issues with scheduling email us or slack us. Don’t just tell us something only in person, please send a message. We will probably compile all of the slides and notes and workshops for the retreat so that if there is any important information we will have access to that. There is also a link on the timeline itself, including what we should be bringing to the retreat.
Bukky: I know you have open times for the days we will be at the retreat for 1-1’s, is it possible to meet at the retreat?
Victoria: It would probably be best to schedule a 1-1 with us when we are back on campus?
Adam: Have we worked out the van drivers?
Victoria: No. Yehyun will probably drive one. If you didn’t sign up for a bed, you got assigned to a bed. I will get the updated spreadsheet so everyone has their housing. If you haven’t scheduled a 1-1 yet with us, please do. We do expect everyone to be meeting with us before fall break.
Grace: Is it okay if I schedule a 1-1 to talk about a specific topic?
Victoria: You should bring a bit about what you’ve been thinking about regarding projects and position. It will also be us asking you about what you need support in. With other meetings, they will probably be more specific.
Kabir: In the next week with the class reps, Grant, Yehyun and I will be meeting with you about the StuCo Bulletin Board.
Plenary
Victoria: Let’s go over our budgeting as it is due today. Let’s start with merch.
Julie: We have 300 shirts, which is a total of $3000. All sizes from XS to XL are $9.50. We are doing it through a new vendor as we want higher quality shirts. The XXL and XXXL are a little more expensive, but this site has a larger range of sizes. There are not a lot of shirts per size per color which I think is fine. The colors we have are orange, yellow and white. We have the design for shirts. For stickers, we can get a lot more because it is roughly $88 for 200 stickers of one design. Or $106 for 200 of a die-cut sticker. We have 3 designs, two of which are squares. We have another that would be good as di-cut. The total we currently have for those three designs is $283.76. In the past we have used four designs. That’s 600 to 800 stickers which should be plenty. I updated the spreadsheet recently. I currently budgeted for 800 stickers in case we end up doing that.
Victoria: I remember last plenary, students had to pick one sticker, would we do the same again?
Julie: I don’t think I would have students take one of each, last semester we had a ton. Usually they do go pretty quickly. We also have to put some in satellite rooms. We want more people to get stickers as there are less shirts. We could always start with one and sometimes people come by later. They will go even if we just say take one and tell people to come later. I want to make sure the most people can get them.
Victoria: I was thinking if people really like the stickers, we could do more quantity wise. We have a bit of money left in our budget.
Oliver: We also discussed increasing the boba, and if everything is exactly correct we could get 729 cups of boba instead od 600
Victoria: How many did we have last year?
Yuriko: We ordered around 600 cups last year. That was around $2900.
Kelly: It might be a nice idea to buy a few masks in case people want them. Especially for the satellite rooms.
Thea: If we get more boba we may have to get another car to go pick up boba as last year 600 cups filled up a van.
Grace: Kelly’s idea about masks was a good one. We require masks in all the satellite rooms. We want to make spaces apart from zoom. We do try to limit the number of people online.
Victoria: We could try to facilitate that again this year. I do like the idea of buying masks and making a sanitation station where we buy masks, hand sanitizer and stuff like that.
Kelly: We can do that next to the merch table.
Emma: I don’t think we can require masks in spaces on campus, but we can highly encourage masks in the satellite rooms.
Grace: We just said please wear masks last year.
Julie: Our rule of thumb was we can say it’s mandatory but we can’t enforce it.
Victoria: It sounds like we want sanitation supplies.
Adam: I think we need more t-shirts, people like them.
Victoria: My only concern is buying more shirts, I see a lot in the thrift and sometimes shirts don’t get taken or used.
Julie: We had over 500 t-shirts last year and we had slightly too many.
Victoria: What if we budget for an extra 140 t-shirts.
Julie: I can email. We can assume it will be around 9.50 per shirt. I think overall right now we have more larger than smaller sizes. I don’t know how many of the larger sizes right now. I would budget 140 with 9.5 each. Wait, that is way too much money. Maybe we just do 50 more total.
Victoria: Let’s do an additional 30. Can anyone budget the sanitation station?
Grace: I can try.
Oliver: We can do it pretty quickly, we just need to know how much money we have left and we can order the rest on amazon.
Victoria: Could we extend budgeting for plenary by a couple more days then?
Oliver: Yes.
Grace: I can send you what types of masks and hand sanitizer to get.
Victoria: That’s all. That’s all we need to talk about.
Kelly: The first resolution writing workshop, where it is and when.
